Software for physiotherapists: appointments, clinical records and payments without the paperwork
Software for physiotherapists built around how a practice really runs: assessments, treatment plans that last weeks, session packs that get used up and treatment rooms shared between colleagues. Diary, patient records that follow each injury, WhatsApp reminders and VeriFactu invoices, all in your browser and on your phone. Try it free for a month, no card needed.
A clinic held together by folders, notebooks and a phone
Assessment sheets in a folder, appointments on your phone, session packs tracked in a notebook next to the treatment couch and invoices built from a template you copy every month. Between patients you are trying to remember who is first in tomorrow or how many sessions the ankle sprain has left.
It works while you are small. Then a patient asks for the quarter's invoices for their health insurer, a knee replacement needs three sessions a week for two months, or a colleague books the room you thought was free. Software for physiotherapists does not change how you treat: it organises everything around the couch so that nothing depends on your memory.
Six tools a physiotherapy practice uses every day
From the first assessment to discharge, without switching programs or retyping data.
A diary with rooms and series
Day, week or month view, a default session length for each location, a room for every appointment and treatment plans that repeat on their own. Your working hours decide what can be booked. Explore the diary.
Physiotherapy clinical records
Initial assessment, session-by-session progress, attached reports and scans, plus any extra fields you choose to collect. Private and encrypted. See clinical records.
WhatsApp reminders
The reminder goes out 24 hours ahead with buttons to confirm or cancel, and the reply shows up in your diary. Manual messages from your own WhatsApp are unlimited. See reminders.
Session packs and payments
Packs of 5 or 10 sessions that count down with every appointment, part payments by cash, card, Bizum or bank transfer, and a clear list of what is still owed. See session packs.
VeriFactu invoices
Sequential numbering, the healthcare VAT exemption, income-tax withholding (IRPF) when it applies and records sent to the Spanish Tax Agency (AEAT) with your own digital certificate. Facturae format too. See invoicing.
Consent and data protection
Before the first session, patients sign on the clinic tablet or on their own phone and the PDF is stored in their record, all encrypted and hosted in the EU. See consent forms · See security.
How the pieces of this physiotherapy software fit together
In good physiotherapy software nothing is typed twice: the appointment opens the session, the session uses up a pack credit or becomes an invoice, the patient gets a reminder and the month's figures add themselves up. These are the five modules in My Fisio Agenda and how they support each other.
A diary for physiotherapists: rehab series, rooms and working hours
Plan in day, week or month view. A course of treatment is created as a recurring session: choose whether it repeats weekly, every two, three or four weeks or monthly, and how many sessions to book, or leave it open-ended. If the patient comes on Mondays and Thursdays, set up one series for each day. Dates that are already taken are skipped without overwriting anything, and when you pick a room you see in green or red whether it is free at that time.
- Working hours with or without weekends
- Blocks for training, lunch or meetings, one day or every week
- Default length and price for each location
- Appointment status: pending, in progress, completed or cancelled

Each patient's file and physiotherapy clinical record
The patient file holds contact details and a photo, the first-visit assessment and a note for every session: which area was treated, how the patient responded and which exercises they take home. You can attach MRI results, the orthopaedic surgeon's report or a PDF exercise plan, and choose which files the patient can download from My space and which stay hidden. For minors, guardian 1 and, if needed, guardian 2 are recorded.
- Your own “Additional data” fields plus shared centre fields
- Import from Excel or CSV with a guided wizard
- Full patient file exportable to PDF
- Active and inactive patients, international phone numbers

Invoicing for physiotherapists, ready for VeriFactu
When the session ends, the payment is logged: in full, in part or pending, by cash, card, Bizum or bank transfer. You then turn it into an invoice with its sequential number, the VAT exemption for healthcare services (art. 20.1.3 of Spanish Law 37/1992) and IRPF withholding if it applies to you. You can invoice a company, download Facturae files and fix mistakes with a corrective invoice. The VeriFactu record goes to the AEAT with your digital certificate: it becomes mandatory for companies from 1 January 2027 and for self-employed professionals from 1 July 2027.
- Session packs with used sessions always visible
- Invoices per patient, per location or per physiotherapist
- A separate series for corrective invoices
- Commissions and earnings for the clinic and each physio

WhatsApp reminders that keep gaps out of your diary
The day before each appointment, the patient gets a WhatsApp message with the date, the time and two buttons: Confirm or Cancel. If they confirm, a ✅ appears next to their name; if they cancel, the appointment is marked as cancelled and you have time to offer the slot to someone else. You can also send the reminder the moment you book. Manual reminders from your own WhatsApp are unlimited on every plan; automatic ones come with a monthly allowance of 20, 100 or 250 depending on the plan.
- Automatic sending 24 hours before, at booking, or both
- Manual with one click, no message limit
- Optional alert to your WhatsApp when a patient cancels or requests a slot
- Reminder language of your choice

Statistics for your physiotherapy clinic, no spreadsheets
See how many sessions you have done this month and what you have earned compared with the previous period, how much is still unpaid, your average ticket, your cancellation rate and which weekdays are busiest. Tag each appointment with its technique —dry needling, manual techniques, lymphatic drainage, pelvic health…— and you will see which treatments fill your week. The report downloads as a PDF for your accountant.
- Unique patients and sessions per patient
- Average session length
- Breakdown by session type and weekday
- On clinic plans, figures per physiotherapist and per room

Physiotherapy software or a generic calendar: what changes
Search for “physio software” and you get everything: booking apps for beauty salons, medical systems built for hospitals and Excel templates. A physiotherapy practice needs different things, and these six make the biggest difference day to day.
Treatment in series
An injury is rarely fixed in one visit: it takes 8, 10 or 20 sessions over several weeks. Booking them one by one in an ordinary calendar eats your morning.
Packs with a balance
Anyone who buys a 10-session pack wants to know how many are left. Here every appointment uses one up and the balance shows in the patient file.
Shared rooms
If two physios use the same room, the diary must know which one is free at each hour before the appointment is saved, not after.
Clinical progress
A physiotherapy record is an assessment plus session-by-session progress, with reports and scans attached, not a notes field lost inside an appointment.
Health data
An injury, surgery or pregnancy is special-category data under the GDPR: it calls for encryption, access control and a data processing agreement. How we protect it.
Healthcare invoices
Physiotherapy sessions are VAT-exempt in Spain, and VeriFactu requires every invoice to leave a record. Generic invoicing tools do not handle that for you.
Put simply: physiotherapy practice management software organises courses of treatment, not just hours. If you are weighing up options, see our comparison with other programs and pages for anyone moving from TUFISIO, Serenna or Docfav.
Software for physiotherapists in every speciality
The tool is the same; what changes is how you use it. Every appointment can carry its session type —orthopaedic, sports, neurological, pelvic health, dry needling, lymphatic drainage…— so your statistics show where your week goes. Here is how this physiotherapy software fits each field.
Orthopaedic and post-surgery
Initial assessment, a series of two or three sessions a week and progress noted after every visit, from the first mobilisation to discharge. See how series are scheduled.
Sports physiotherapy
Athletes on 5- or 10-session packs, pre-competition sessions and dry needling or kinesio taping tagged for your statistics. See session packs.
Neurological physiotherapy
Long treatment plans booked with no end date, medical reports attached and progress you can review months later without digging. See clinical records.
Pelvic health
Especially sensitive information: encryption, a PIN to open sensitive sections and files hidden from the patient whenever you decide. See security.
Paediatric physiotherapy
The child's file records guardian 1 and, if needed, guardian 2, and the guardian signs the consent on their phone or on your tablet. See consent forms.
Older adults and respiratory
Older or chronic patients with the same slot every week and a WhatsApp reminder the day before so no session is forgotten. See reminders.

First, a patient duplicated into the diaries of two physiotherapists at the same clinic, for example when they combine sports rehab and pelvic health. Then My space: patients sign in with their code and PIN, see upcoming appointments, request or cancel a slot and download the documents you share with them.
